This Privacy Policy applies to information collected through our website at irsresolutionservice.com, our client portal, our professional community, and any other services we operate (collectively, the "Services").

Information We Collect

We collect information you provide directly to us, including:

  • Contact information — name, email address, phone number, and mailing address
  • Tax and financial information — tax years, filing status, business information, IRS notices received, amounts owed, and other information necessary to provide tax resolution services
  • Identity information — the last four digits of your Social Security Number or EIN, as needed to authorize IRS transcript access via Form 8821
  • Account information — email and password when you create a client portal account
  • Communication records — emails, messages, and other correspondence you send us
  • Form submissions — information submitted through our contact forms, intake forms, and Form 8821 authorization
  • Professional information — for community members, your credential type (CPA, EA, etc.) and firm information

We also collect certain information automatically when you use our website, including IP address, browser type, pages visited, and referring URL. This is standard web analytics data.

How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve our tax resolution services
  • Communicate with you about your case, account, or inquiry
  • Retrieve your IRS tax transcripts through the IRS Transcript Delivery System (TDS) when you have authorized us to do so via Form 8821
  • Prepare and submit documents to the IRS on your behalf, where authorized
  • Send you service-related emails and notifications
  • Process payments for services rendered
  • Operate our professional community, including scheduling calls and sending communications
  • Comply with our legal and professional obligations as a licensed CPA firm
  • Protect against fraud and unauthorized access

We do not use your information for advertising, profiling, or any purpose unrelated to providing our services.

Sensitive Tax Information

We take the confidentiality of your tax and financial information seriously. As a CPA firm, we are bound by professional conduct rules under IRS Circular 230 and applicable state CPA licensing requirements regarding client confidentiality.

  • IRS transcripts are retrieved from the IRS in real time when needed and are not permanently stored in our systems. When you or Romeo downloads a transcript, it exists only on that device.
  • Social Security Numbers — we store only the last four digits in our system. Full SSNs entered for transcript retrieval are transmitted securely to the IRS and are not retained in our database.
  • Form 8821 data — the authorization information you sign is stored securely and used only to authorize Romeo's access to your IRS records as specified in the form.
  • Financial details you share in intake forms are stored in our secure client management system and accessed only by Romeo and authorized staff.

We will never sell, rent, or share your tax or financial information with third parties for marketing, advertising, or commercial purposes under any circumstances.

How We Share Information

We share your information only in the following limited circumstances:

  • With the IRS — as required to provide our services, including submitting authorized forms and retrieving transcripts on your behalf
  • With service providers — we use a small number of third-party services to operate our platform, including Netlify (hosting and infrastructure), Stripe (payment processing), and Resend (transactional email). These providers only process data as necessary to provide their services and are contractually prohibited from using your data for other purposes.
  • For legal compliance — if required by law, court order, or government authority, or to protect the rights and safety of our clients and our firm
  • With your consent — for any other purpose, only with your explicit authorization

We do not sell, rent, trade, or otherwise transfer your personal information to any third party for commercial purposes.

Section 06

Data Storage & Security

Your information is stored on Netlify's infrastructure, which provides enterprise-grade security including encryption in transit (HTTPS/TLS) and encryption at rest. Our client portal uses Netlify Identity for authentication, with industry-standard password hashing.

We implement reasonable administrative, technical, and physical safeguards to protect your information against unauthorized access, disclosure, or destruction. These include:

  • HTTPS encryption for all data in transit
  • Password-protected admin access with no hardcoded credentials in our codebase
  • Limited data retention — we store only what is necessary to provide our services
  • IRS transcripts are not stored in our database — they are retrieved on demand and exist only on the devices of authorized personnel

No method of transmission over the internet or electronic storage is 100% secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security.

We retain your information for as long as necessary to provide our services, comply with our legal and professional obligations, and resolve any disputes. Client records may be retained for up to seven years in accordance with IRS recordkeeping recommendations and applicable professional standards.

Cookies & Tracking

Our website uses minimal cookies necessary for the site to function, including authentication cookies for logged-in users. We do not use advertising cookies, tracking pixels, or third-party behavioral analytics.

We may use basic, privacy-respecting analytics to understand how our website is used (e.g., which pages are visited). This data is aggregated and not tied to individual users.

You can control cookie settings in your browser. Disabling cookies may affect the functionality of our client portal.

Your Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access — request a copy of the personal information we hold about you
  • Correction — request that we correct inaccurate or incomplete information
  • Deletion — request that we delete your personal information, subject to our legal and professional retention obligations

Children's Privacy

Our Services are intended for adults and are not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected information from a child, please contact us immediately at romeo@taxedright.com and we will promptly delete it.

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date at the top of this page and, where appropriate, notify you by email.
